Parent Communication

Parents are the single biggest lever for pupil behaviour. This unit gives you a WhatsApp Business setup, four templates you'll use weekly, and a 10-minute Friday digest that keeps parents on side without burning you out.

Three rules of parent communication

  1. 3 positives for every 1 concern. Parents who only hear bad news stop opening your messages.
  2. Same-day on absences and incidents. Weekly on positives. Don't batch concerns; do batch celebrations.
  3. One channel, school hours only. Pick WhatsApp Business or email โ€” not both. Reply during school hours only.

WhatsApp Business โ€” 15-minute setup

  1. Download WhatsApp Business (free, separate from regular WhatsApp). Use a school SIM if available โ€” never your personal number.
  2. Set business profile: school name, "JSS1A Class Teacher ยท Mrs Adeyemi", school address, school hours (7:30amโ€“3:30pm).
  3. Set an Away Message: "Thanks for your message. I respond between 7:30am and 3:30pm on school days. For emergencies during school hours, please call the school office on 0XXX."
  4. Set a Greeting Message: "Welcome to JSS1A's communication line. Please write your child's name in your first message."
  5. Set Quick Replies for the four templates below. Type "/" and pick the template.
  6. Create one broadcast list (NOT a group) of all parents. Broadcasts reach everyone privately โ€” replies come to you, not the whole class.

Use a group only for general announcements where parents see each other. Use a broadcast for anything personal or sensitive. Default to broadcast.

The four templates that cover 90% of contact

Template 1 โ€” Absence notification (same-day)

"Good morning [Parent Name]. [Pupil Name] was absent today. Please let us know if he/she is well. Looking forward to seeing them tomorrow. โ€” Mrs Adeyemi, JSS1A."

Template 2 โ€” Positive recognition (anytime)

"Mrs Bello, just sharing a quick note โ€” Aisha gave a wonderful answer in Maths today. Thought you'd like to know. Have a great evening. โ€” JSS1A."

Template 3 โ€” Concern, not crisis (Strike 2)

"Mrs Musa, a quick heads-up about Bashir. He had a short chat with me after class today about [behaviour]. Nothing serious, but I wanted you to know. He's agreed to a fix. Happy to chat if you'd like โ€” easiest by phone tomorrow between 1:30 and 3:30pm. โ€” Mrs Adeyemi."

Template 4 โ€” Friday digest (weekly broadcast)

"Hello JSS1A parents โ€” quick weekly note.
โœ“ This week we covered: [Maths: fractions; English: comprehension; Basic Science: states of matter].
โœ“ Top achievement: Pupil of the Week is [Name].
โœ“ Coming up: [exam dates, school event, homework deadline].
Have a restful weekend. โ€” Mrs Adeyemi."

Protecting your evenings

The biggest reason teachers stop communicating with parents is burnout โ€” replies at 10pm, on Sundays, during family meals. Protect yourself:

  • Mute the chat after 4pm. Notifications off. They'll still see your "Away" message.
  • No work phone in the bedroom. Charge it in the living room overnight.
  • Weekend = closed. Friday's digest is your weekly send-off. The next reply is Monday 7:30am.
  • One emergency exception. A pupil is sick, lost, in distress. Otherwise, Monday morning.

The 10-minute Friday digest

Block 10 minutes every Friday at 2:30pm. The ritual:

  1. Open WhatsApp Business โ†’ broadcast list "JSS1A Parents".
  2. Open your Template 4 quick reply.
  3. Fill the three lines (this week / top achievement / coming up).
  4. Attach a Canva-made graphic if you like (template reusable each week).
  5. Send. Close the app.

By Monday, you'll have done more parent communication than 70% of teachers in your school โ€” in less than an hour a week.

2:32pm Friday. You open WhatsApp Business. Tap broadcast list "JSS1A Parents". Tap "/" โ†’ pick "Friday digest" template. Replace the three placeholders with this week's content. Attach the Canva digest graphic. Tap send. Close the app.

Time: 7 minutes. Effect: 28 parents feel informed, valued, and on your team.

Before this Friday:

  1. Install WhatsApp Business with a school SIM (or a clean number).
  2. Set business profile, away message, greeting message.
  3. Save the four templates as Quick Replies.
  4. Build your broadcast list of all parents.
