Why attendance is a management problem, not a paperwork problem

Every minute of roll call is a minute pupils are unsupervised. Most behaviour incidents in primary and JSS classrooms happen in the first 10 minutes โ€” exactly when teachers are still calling names. Cut roll-call to 30 seconds and you reclaim 4 hours per week.

More importantly: late-coming and absenteeism are leading indicators of disengagement. A pupil who comes late 3 days in one week needs a conversation. A pupil who comes late 8 days in one term may need a home visit.

The Google Form method โ€” 30 seconds, every period

  1. Create one Google Form titled "JSS1A Attendance".
  2. Question 1: Date (auto-fill with today).
  3. Question 2: Period (dropdown โ€” Morning, After Break, Afternoon).
  4. Question 3: Multiple choice grid โ€” rows = pupil names, columns = Present, Absent, Late.
  5. Link the Form to a Google Sheet โ€” every submission becomes a row automatically.
  6. Pin the Form link on your phone home screen. Tap, fill, submit โ€” 30 seconds.

Reading the patterns

Once a week, open the linked Google Sheet. Use a pivot table (Insert โ†’ Pivot table) to ask one question:

"How many times has each pupil been Late or Absent in the last 7 days?"

Three numbers to act on:

  • 0โ€“1 late/absent days: No action.
  • 2โ€“3 late/absent days: Quick chat with pupil. Note the reason.
  • 4+ late/absent days: Phone the parent. Document the call in your incident log (Unit 4).

Same-day "your child is absent" workflow

Parents should know the same day, not at the next PTA. Two ways:

  1. Manual (5 minutes): Filter the sheet for "Absent" rows today. Copy each parent's name into a WhatsApp Business template: "Good morning Mrs Adeyemi โ€” Tunde was absent from school today. Please let us know if he is well. โ€” JSS1A teacher."
  2. Automated (advanced): Use a free Google Sheets script (or Zapier free tier) that sends an SMS via Termii or BulkSMSNigeria whenever an "Absent" row is added. We cover the setup in Unit 5.

Edge cases you'll meet every term

Step 1: Open forms.google.com, create a new form. Title it "JSS1A Attendance". 30 seconds.

Step 2: Add a "Multiple choice grid" with pupil names as rows and Present/Absent/Late as columns. 2 minutes.

Step 3: Click Responses tab โ†’ green Sheets icon โ†’ "Create new spreadsheet". 30 seconds.

Step 4: Copy the form link โ†’ save as a bookmark on your phone home screen. 1 minute.

Total: 4 minutes. From tomorrow morning, attendance takes 30 seconds.

Before next Monday:

  1. Build the attendance Form for one class.
  2. Link it to a Sheet.
  3. Run it for one full week.
  4. On Friday, open the Sheet and identify any pupil with 2+ late/absent days. Plan your follow-up.
